Covid Safety Policy

SSON Coronavirus (COVID-19) Onsite Event Policy

Shared Services & Outsourcing Network, its officers, directors, subsidiaries, and affiliates (collectively “SSON”) takes seriously the health and safety of our staff and of our clients, vendors, customers and guests. Our policies are developed to follow guidance set by federal, state and local regulations and health authorities regarding the Covid-19 pandemic. We will also rely on the good judgment and professionalism of our attendees to behave responsibly throughout any event and cooperate with the policies put in place for the benefit of all of our attendees. Should you at any time have any questions or concerns regarding these protocols, please feel free to reach out to any SSON staff member at the event.

  • All persons attending the event will be required to either be fully vaccinated (e.g., at least two weeks after receiving the final dose of a Covid-19 vaccination), or to have tested negative for Covid-19 a maximum of 72 hours prior to the beginning of the event. Please have with you proof of vaccination or a negative Covid-19 test at check-in so that SSON check-in staff can authorize you to enter and participate in the event. (To protect your privacy, these documents will be visually inspected by a staff member at check-in, but no copies will be made or retained.)
  • Attendees that are not fully vaccinated will be required to wear face coverings while participating in any indoor portions of the event and are encouraged to wear face coverings during outdoor portions where social distancing may not be practicable. Attendees that are fully vaccinated are encouraged to wear face coverings while participating in any indoor portions of the event and during outdoor portions where social distancing may not be practicable.
  • The venue will be exercising its own Covid-19 protocols, including regular sanitization of all meeting rooms before use, taking steps to make food and beverage service as contact-free as possible, and having sanitization stations available throughout the event for attendees’ use.
  • Although SSON will make efforts to ensure that there are areas available for social distancing at many portions of the event, there may be some event activities (for example, small-group breakout sessions) where social distancing may not be practicable. If an attendee wishes to limit him/herself to activities where he/she can socially distance, please speak with any SSON staff member at the event, who can advise you as to room capacity and attendee size for any specific activity at the event.
  • We ask that every person at the event self-monitor for symptoms of illness before entering the event each day. If you are feeling feverish, have a persistent cough, or are otherwise experiencing potential symptoms of Covid-19, please do not enter the event. Instead, you should contact venue or SSON staff via telephone so that we can ensure you receive testing, medical attention and whatever other assistance may be appropriate to ensure your safety and that of others around you.

While the above is intended as general guidance for the event, SSON reserves the right to modify this policy in the event of new controlling guidance or as other circumstances may warrant. Attendees should at all times follow directions that may be given by SSON event staff or venue staff, to ensure the safety and comfort of all event attendees.

We look forward to everyone enjoying a healthy, safe and productive event.
